Head of administration (f/m/d)
The German-American Institute (DAI) Heidelberg is a renowned non-profit cultural center dedicated to promoting democracy and providing information about social, political and cultural events on both sides of the Atlantic. In addition to a comprehensive program – consisting of lectures, series of events, seminars, discussions, readings in German and English, concerts, films and exhibitions – the DAI offers a wide range of educational opportunities, including a public English-language library and a language school.
To strengthen our team, we are looking for an experienced full-time administrative manager (f/m/d) with immediate effect.
Your tasks
- Finance and controlling: budget planning, financial controlling as well as processing and monitoring accounting and payroll accounting
- Personnel management: coordination of personnel administration, contract management and strategic personnel planning
- Administration and organization: optimization and control of internal processes, contract management as well as third-party funding and grant management, committee support
- IT administration and data protection: support and further development of the IT infrastructure, adherence to data protection and compliance guidelines
- Event organization and rentals: Planning, coordination and implementation of events as well as management of room rentals
- Facility management: monitoring and coordination of building management and maintenance
Your profile
- Several years of professional experience in administration, finance and/or HR management
- Experience in third-party funding and grant management is an advantage
- Strong organizational and analytical skills as well as a structured, solution-oriented way of working
- Leadership skills, decisiveness and a high level of personal responsibility
- Knowledge of IT administration, data protection and compliance is an advantage
- Very good written and spoken German and English skills
